The type of personal information we collect

We currently collect and process the following information:

  • Names, job title, email addresses, business addresses, telephone numbers
  • Bank account details (see note*)
  • Occasionally we may receive further personal information from the conference organisers who we work for in relation to delegates, such as a delegate’s location or language preference

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • We supply you or your employer with conference production services and your details form part of our working relationship
  • We supply conference production services to you as a sub-contractor to another business you have contracted, and your details form part of our working relationship
  • You are our sub-contractor and your details form part of our working relationship. *You may provide us with business bank account details and we recognise these may be personal to you if eg you are a sole trader.
  • You have contacted us through our website in relation to prospective work

We also receive personal information indirectly, from the following sources in thefollowing scenarios:

  • Personal contacts and referrals through our business partners or subcontractors.
  • Delegate information through our clients in order to efficiently and effectively run a conference including any online provision

How we use your personal data

We use the information that you have given us in order to:

  • Providing and managing your business account with us
  • Supplying services to you or your organisation in accordance with contract
  • Communicating with you and responding to queries
  • Provide delegate facilities at live or online events

Data sharing

Personal data will only be disclosed on a confidential basis to contracted service providers so that they can provide financial, technological, audio-visual or administrative assistance.

Lawful basis for using your data

Under the UK General Data Protection Regulation (UK GDPR), we must always have a lawful basis for using personal data. The lawful bases we rely on for processing this information are:

(a) Your consent. Where we have obtained your consent, you are able to remove your consent at any time. You can do this by contacting

(b) We have a contractual obligation. We process information in order to support and maintain our existing or potential contractual relationships.

(c) We have a legal obligation. We process information in order to comply with our legal obligations.

(f) We have a legitimate interest. We process information where it is in our legitimate business interests to do so, but we will not process data where our interests are overridden by the interests, rights and freedoms of the data subject which require protection of their personal data.

How we store your personal information

We store and protect your data by using secure IT systems and assets, including encryption, passwords, firewall, virus and malware protection, as well as close control of our IT equipment on and off site.

Where any physical data is stored it is kept securely.

How long we keep your data

We will only keep your data for as long as necessary unless there is an overriding legal ground to do so. In particular we wish to confirm that any delegate-related personal data that we process will not be held any longer than necessary for the performance of the contract in which we are instructed.

We will then dispose of personal data by permanent deletion (electronic records) or physical destruction (physical records).

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
